Harford Sports Rental FAQ’s – Coaches

This FAQ is designed to clearly outline expectations for all coaches renting indoor space. These policies help ensure safety, fairness, and consistent use of the facility for all renters.
General Policies (Applies to All Spaces)
1A. Cancellations & No-Shows (Online Bookings)
- All cancellations must be made at least 72 hours in advance to avoid penalty.
- No cash refunds are issued under any circumstances.
- Eligible cancellations will receive a credit applied to the account for future use.
- No-shows automatically forfeit payment and are not eligible for credit.
1B. Advanced Bookings (Bookings reserved 2 months or more ahead in advanced)
- All coaches are expected to honor their advanced reserved time slots. Advanced Bookings are bulk reservations made 2 months or more in advance
- Bulk reservations are non-cancellable and non-refundable. Dates can be postponed and used for future dates not already reserved. Postponed dates cannot be used for other advanced reservations.
- Postponements due to weather or team conflicts will be rescheduled to a new, unscheduled date. This does not apply to previously advanced bookings.
- Forecast-based cancellations are NOT accepted.
- Postponement request must be submitted at least 30 days in advance, in writing/email. Phone requests are not accepted.
- Requests made inside of 30 days are at the discretion of Harford sports to issue a credit.
- Attempts to cancel an entire reservation block will result in full financial responsibility after this agreement is signed.
- A $500 deposit will be invoiced in august before the winter session. This deposit will be applied to the tail end of the advanced bookings (Late Feb/March) and cannot be used for anything else prior to.
- You will be invoiced for your scheduled time on the 15th of the month prior to the bookings. Example: Invoice November 15 for December dates. Invoiced December 15 for January dates.
- If you are unsure of your long-term commitment, DO NOT book in advance.
2. Time Slot Changes & Swaps
- Time slot swaps are not guaranteed and require approval from a manager.
- Same-day swaps are subject to availability and staff discretion.
- Coaches should not assume flexibility unless explicitly approved.
3. Arrival, Setup, & Exit Expectations
- Coaches may enter their rental space early, within reason, if there is no current rental occupying the space.
- There is no grace period at the end of a rental.
- Example: If a rental ends at 8:00 PM, the space must be cleared by 8:00 PM sharp.
4. Conduct & Supervision
- Coaches are always fully responsible for the behavior/actions of their athletes, themselves, assistant coaches, and parents.
- Foul language and equipment abuse are not permitted.
- Coaches are expected to maintain control of their group and address issues immediately.
5. Equipment & Facility Care
- The renting party is financially responsible for any damage caused during their rental.
- Equipment must be used as intended and returned to its proper location.
6. Parent & Spectator Policies
- Parents and spectators must remain off the field of play at all times.
- A designated parent viewing area is provided to allow clear visibility of activities without interfering with rentals.
- Parents are expected to adhere to our Code of Conduct at all times.

Field (Main Turf) – FAQ
1. Footwear & Approved Activities
- Metal cleats are strictly prohibited.
- Molded cleats and turf shoes are permitted.
- No sports are restricted on the turf, provided all safety rules are followed.
2. Field Setup & Configuration
- Coaches may configure the turf, goals, and layout as they choose.
- All equipment must be returned to its original position at the end of the rental.
3. Safety Rules
- Live at-bats are NOT permitted on the turf.
- All throwing and hitting activities must be conducted in a controlled and safe manner.
Annex – FAQ
1. Intended Use
- The Annex is designed for team practices and organized training sessions.
2. Equipment Restrictions
- Weighted balls may not be thrown against the walls.
- No balls of any kind may be thrown at the wooden boxes.
3. Noise & Shared Space Expectations
- There are no formal noise restrictions; however, foul language is not permitted.
- Coaches should remain mindful that other rentals may be occurring during or after their session.
Batting Cages & Pitching Tunnels – FAQ
1. Booking & Time Management
- Cage rentals are strict start and stop times.
- There is no flexibility at the end of a rental.
- Example: If your rental ends at 9:00 PM, the cage must be cleared by 9:00 PM sharp.
2. Equipment Rules
- Coaches may bring and use their own baseballs/softballs.
- Pitching machines must only be adjusted by facility staff.
- Coaches and athletes should not modify machine settings.
3. Safety Requirements
- Helmets are mandatory for all hitters in the cages and tunnels.
4. Pitching Tunnel & Mound Rules
- Molded cleats are permitted on mounds.
- Metal cleats are strictly prohibited on all mounds.
Enforcement & Acknowledgement
- Facility staff and management reserve the right to enforce all policies.
- Repeated violations may result in loss of rental privileges.
Parking – FAQ
- Parking spots are available in front of our building, on the side of our building, and behind our building.
- Additional parking spots are available after 5pm, and weekends, in the Blue Dot parking lot
- No parking in any of the businesses behind Harford Sports
- Annex parking spots are available. However, do not park in front of the bay doors of neighboring businesses.
Coach Acknowledgement: By booking or using the facility, the coach acknowledges that they have read, understand, and agree to comply with all policies outlined in the Indoor Facility FAQ.
